Evidence that expires, tracked like it expires

A compliance register is only worth what its worst row is worth. VCMS holds the documents, watches the dates, records the acknowledgements and classifies incidents the way a work health and safety regulator classifies them.

Documents

Verified by a person, watched by the platform

Optical character recognition reads the fields off an upload and puts them in front of a reviewer. It is a typing aid, not an approver. The platform never clears a document on its own.

UploadFrom the contractor’s own link, the portal, or by an administrator on their behalf. The same evidence, whichever route it came in by.
ExtractionTesseract locally or AWS Textract, or a bundled extractor where neither is available. Extracted fields are suggestions on a review screen.
ReviewApprove, or decline with a reason. The decline is the message that tells the contractor what to upload again. An approval is silent, because the portal already shows it.
ExpiryCaptured at review and monitored from then on. Warnings go out before the date, not after it, and an expired document can hold a barrier release.
Document groupsWhat a trade needs, plus what a particular site needs on top. Changing a requirement notifies the people it now applies to.
Where it livesApproved documents can be mirrored into a SharePoint document library, and removed from it again when the retention policy disposes of the original.

Classified the way it has to be reported

An incident form whose categories do not match the ones a regulator recognises produces a record that has to be entered again somewhere else. These are the categories in the product.

Severity is recorded alongside, the person involved is classified as visitor, contractor, employee or other, investigation status is tracked, and the report renders to PDF. Nominated incident contacts are configurable per organisation, so the portal tells a contractor who to call rather than showing a platform default.

Document verification

Licences, insurances and certificates, reviewed by a person and tracked to expiry.

  • Classified by mechanism and severity, with the notifiable categories named the way a regulator names them.
  • Investigation status is tracked, and the report renders to PDF.

Site policies and acknowledgement

Publish the rules for a site and record who accepted which version, when.

  • An outstanding acknowledgement can hold site access.
  • Acceptance is a record with a version and a timestamp, not a checkbox that vanishes.
Retention

Holding personal information for exactly as long as you said you would

Collecting identity evidence creates an obligation to dispose of it. VCMS treats that as a feature rather than a policy document.

A separate store for images

Identity photographs and selfies live in their own store keyed to the verification, so disposal deletes rows rather than relying on somebody remembering to null two columns.

Policies you set

Retention periods per class of data, with a disposal cycle that runs against them and a record of what it disposed of.

Export or purge one subject

Everything held about one person, exported on request or purged on request, as a first-class operation rather than a database session.
